Leads and pipeline

Manage contacts in a searchable Kanban or list.

Kanban and List operate on the same CRM records. The board loads your 2000 most recently updated leads — past that, older ones stop appearing here (they still exist and are reachable from Inbox).

Pipeline — 7 native columns, plus your own

New, Qualifying, Qualified, Scheduled, WON, LOST, and No qualifies. The last two look similar but mean different things:

  • LOSTa meeting actually happened and it didn't close. Only reached by dragging a card here yourself (or via the post-meeting outcome flow); moving a card to LOST always asks for a reason and won't move it without one.
  • No qualifiesthe AI decided a lead doesn't fit before any meeting was ever booked. This is where the agent itself sends a disqualified lead automatically, and it also stops the AI from replying to that conversation further. Dragging a card here manually doesn't ask for anything — no reason is required, since there's no outcome to record.
  • WON asks for the closed amount in USD before completing the move.

Create stage adds organization-specific columns beyond these 7 native ones.

Search and tools

  • The search box filters the already-loaded board only — name, username, email, phone, or any AI-extracted qualification field. If a lead isn't in the loaded 2000, this search won't find them; use Inbox's search for that (it queries the whole organization server-side).
  • Import CSV or export leads.
  • Assign a saved brain preset from a card.
  • See channel, estimated value and update time.
  • Click a card or list contact to open the exact Inbox conversation and profile.

Large columns render only the cards near your scroll position (virtualized), so a column with hundreds of leads stays smooth without compressing cards.
